Streamlining compliance with Vestlane

Compliance in private equity has long been a challenge for fund managers, GPs, and LPs. Vestlane, a software firm focused on this issue, offers a streamlined approach to private market compliance and investor onboarding. The platform recently won the Technology Innovation of the Year (Client Services) Award at the Private Equity Wire EU Awards 2025. Polina Medvedeva, VP of Marketing at Vestlane, explains how the platform works and its impact on the industry.

Please describe your firm’s service offering and what makes it special.

Vestlane eliminates inefficiencies by automating investor onboarding, integrating deep legal expertise, and embedding cutting-edge KYC/AML solutions – reducing fund closing times by up to 40%. Designed for adaptability, Vestlane supports venture capital, private equity, and special purpose vehicles, offering unmatched scalability and regulatory agility.

What are the three key selling points of your business and service range?

First, is the automated investor onboarding. We make onboarding seamless, cutting costs in half for first-time investors and enabling 5-minute signing for repeat investors. With automated KYC/AML checks, funds can ensure compliance while providing a frictionless experience. Over 6,000 investors choose to keep their data profiles on Vestlane for smoother future transactions.

Second is our fund subscription automation. What once took months of manual work can now be completed in days, with our platform automating subscription documents, tracking capital commitments in real-time, and verifying KYC/AML data electronically. The ‘5-Minute Fund Subscription’ via our reusable investor wallet further enhances the LP experience.

Finally, there is our ongoing compliance & KYC/AML. Vestlane ensures full regulatory compliance across private equity, from traditional fund setups to complex arrangements. With 360° KYC/AML operations covering KYB and KYA, we help funds stay audit-ready and operate securely across 100+ jurisdictions. Our legal expertise ensures that compliance is never a bottleneck but a competitive advantage.

What do you anticipate having the biggest impact on your business over the next 12 months? And how are you preparing?

Over the next 12 months, we anticipate that LPs will become increasingly impatient with outdated onboarding experiences, expecting a smoother, more flexible process – one that allows them to move seamlessly between funds. This shift will likely drive stricter compliance requirements, not just for fund managers but also for investment targets and secondary transactions.

To stay ahead of these changes, Vestlane is positioning itself as the go-to platform for frictionless, transparent, and fully compliant private equity transactions. With legal expertise at our core, we are setting the standard for investor onboarding across 100+ countries.

Our product team remains focused on meeting the evolving demands of fund managers, GPs, fund admins, lawyers, and service providers, ensuring they have the tools they need to navigate an increasingly complex regulatory landscape with ease.

How would you describe the role your services played in helping your private markets clients navigate the economic landscape of the past 12 months?

Over the past 12 months, our services have played a crucial role in helping private markets clients navigate the economic landscape by streamlining and modernising their investor onboarding and subscription processes. By replacing outdated, paper-based methods with a seamless digital experience, we have significantly reduced complexity and time investment for both fund managers and investors.

Clients have found it easier to track investor progress, communicate efficiently, and consolidate key processes like subscriptions, identification, and signing into one smooth workflow. This not only enhances operational efficiency but also provides a competitive edge, as LPs increasingly prefer funds with fast, seamless onboarding over manual, outdated systems.

What product or service innovation from the past 12 months are you most proud of?

In the last year, we’ve made significant strides in innovation, notably this has included the launch of Vestlane 2.0.

Designed to better support large funds managing over $1bn in assets under management, this upgrade has strengthened our platform’s speed, security, and scalability, and reinforced our position as a technology leader in the private equity space.

Alongside this upgrade, we introduced a more flexible and suitable pricing model and rolled out several key enhancements:

  • Source of truth data: Dynamic updates ensure consistency across all transactions and processes.
  • Faster, higher-quality development: Our new architecture allows for quicker, more secure feature rollouts.
  • Enhanced KYC/AML capabilities: Comprehensive compliance support for co-investment partners, secondary transactions, asset transfers, and more.
  • Multi-fund management: Fund managers can now oversee multiple funds in a single workspace with dedicated access controls.
  • Advanced validation: Integration with tools like North Data and Google Places for enhanced data verification.
  • Improved messaging: Enhanced investor communication through features like the Shared Workspace.
  • Multi-signatory functionality and the ability to include additional documents for faster approvals.
  • Enhanced exports: Support for large, multi-part downloads and advanced export options.

These advancements have helped onboard 6,000 investors and facilitate over €10bn in AUM raised by client funds on our platform. And we’re just getting started. For a deeper dive, please read our Annual Milestone review.
